Create a new event

To start planning, click the + button in the left navigation sidebar. EventPilot creates a new event and opens the event workspace immediately.
You can create as many events as you need. Each event has its own isolated workspace, chat history, tasks, and documents.

The workspace uses a three-pane layout that keeps conversation and structured planning side by side.

Left Sidebar

Navigate between events, access settings, and switch your planning language.

Chat Center

The primary place to describe your event in natural language and interact with the AI.

Right Panel

Structured planning tools — your smart form, tasks, and documents — organized in tabs.

The right panel has three top-level tabs:

The smart form

When you open the Dashboard tab, the smart form displays your event’s structured data. It is divided into 13 planning sections, each accessible via vertical icon tabs on the left edge of the panel.
Core event identity: event name, type, short description, and key objectives.
Event format (conference, workshop, gala, etc.), scale, and overall structure.
Target attendees, expected attendance numbers, audience profile, and accessibility needs.
Event date, duration, schedule structure, and important deadline milestones.
Location, venue type, capacity requirements, and room configuration.
Total budget, budget breakdown by category, and cost tracking.
Program structure, sessions, timings, and breaks.
Speaker lineup, bios, session assignments, and speaker logistics.
Audio/visual equipment, streaming setup, presentation technology, and technical support needs.
Food and beverage requirements, dietary accommodations, and catering format.
Sponsorship model, revenue targets, sponsor tiers, exhibitor setup, and confirmed partners.
Positioning statement, key messages, target personas, channels, registration platform, ticket types, and launch timeline.
Fields you have deferred for later — items you clicked “Decide Later” on. Review and resolve them when you’re ready.
As you chat with the AI, fields across all sections fill in automatically. You don’t have to navigate to each section manually — the AI populates them as you provide information.

Rename an event

EventPilot derives the event’s display name from the event name field in the Overview section of the smart form.

Open the Dashboard tab

Click the Dashboard tab in the right panel to open the smart form.

Navigate to the Overview section

Select the Overview tab in the vertical section navigation on the left edge of the smart form.

Update the event name field

Find the event name field, enter your desired title, and confirm it. Once confirmed, the name appears in the sidebar and throughout the workspace.

Delete an event

Deleting an event is permanent. All chat history, tasks, documents, and field data are removed and cannot be recovered.
To delete an event:

Open the event options menu

In the left sidebar, hover over the event name and click the more options (⋯) icon that appears.

Select Delete

Choose Delete event from the menu.

Confirm the deletion

Confirm the action in the dialog that appears. The event and all its data are permanently removed.
