The Documents tab

Open the Documents tab in the right panel to manage all files and AI-generated content for your event. Documents are scoped to the current event.

Two types of documents

Uploaded files

Files you attach to the event — PDFs, images, spreadsheets, and more. Useful for storing venue contracts, supplier quotes, floor plans, and other external materials.

AI-generated documents

Documents created by EventPilot’s AI — contracts, event briefs, and proposals. These are drafted through a dedicated AI chat session and saved directly to your event.

AI document generation

EventPilot can draft professional event documents for you using the information already in your smart form.

Supported document types

  • Event brief — a concise summary of the event concept, goals, audience, and logistics
  • Vendor / venue contract — a structured contract draft based on your event details
  • Event proposal — a formal proposal document for clients or stakeholders

How to generate a document

Click Generate

In the Documents tab, click the Generate button and select the document type you want to create.

Review the pre-filled prompt

EventPilot pre-fills a prompt based on your event data. The AI uses everything you’ve confirmed in the smart form as its starting context.

Chat to refine

Each document type opens its own isolated AI chat session — separate from your main event chat. Use this session to iterate on the document: ask the AI to adjust the tone, add a specific clause, or expand a section.Your document chat history is preserved independently from your event conversation.

Save the document

When you’re satisfied with the result, save it to your event. The document appears in the Documents list and can be downloaded or shared.
Each document type has its own isolated chat history. Revisions you make to a contract draft don’t affect your event brief session, and vice versa.

Uploading files

Attach external files to keep all event materials in one place.

Click Upload

In the Documents tab, click the Upload button.

Select your file

Choose the file from your computer. Supported formats include PDF, DOCX, XLSX, images (JPG, PNG), and plain text files.

File is attached

The file appears in your Documents list with its name, type, and upload date.

Downloading documents

To download any document — uploaded or AI-generated — click the Download icon next to it in the Documents list.
  • AI-generated documents download as Markdown (.md) files.
  • Uploaded files download in their original format.

Renaming documents

Open the rename option

Click the more options (⋯) menu on the document you want to rename.

Enter the new name

Type the new document name and confirm. The name updates immediately in the Documents list.

Deleting documents

Click the more options (⋯) menu on a document and select Delete. Confirm the action in the dialog.
Deleting a document is permanent. Uploaded files are removed from storage and cannot be recovered. AI-generated documents must be regenerated if deleted.

Marketing materials

Marketing materials are separate from documents and live in their own section within the Documents tab. Marketing materials are AI-generated content pieces tailored for promoting your event, such as:
  • Social media posts
  • Email copy
  • Press release drafts
  • Event descriptions for registration pages
Like AI-generated documents, each marketing material type uses its own isolated AI chat session. Provide feedback in the session to refine tone, messaging, or length, then save the result to your event.
The AI uses your event’s Marketing section data — including your positioning statement, key messages, target personas, and channels — to produce on-brand copy automatically.
