The To Dos tab

Open the To Dos tab in the right panel to access task management for your event. All tasks are scoped to the current event and are separate from tasks on other events.

Creating tasks

EventPilot gives you five ways to create tasks:
Type a task description in the quick-add input at the top of the To Dos tab and press Enter. The task is created immediately with default priority (medium) and no due date.Use this for fast capture when you don’t need to set details right away.
You can also create a task directly from any AI message in the chat. Look for the Create task button that appears on assistant messages.

Task fields

Each task can store the following information:

Custom task statuses

The default workflow statuses are To Do, In Progress, Review, and Done. These cover most planning workflows, but you can customize them to match your team’s process. To manage custom statuses, go to Settings and find the Task Statuses section. There you can add new statuses, rename existing ones, set colors, and reorder them. Custom statuses apply across all events in your organization.

List view and Kanban view

Toggle between two views using the view switcher at the top of the To Dos tab:
All tasks appear in a flat list grouped by completion status. Each task shows its priority badge, due date, assignee, and source badge (manual, AI-generated, imported, etc.).Click any task to expand it for inline editing. Toggle completion with the checkbox.

Filtering tasks

Use the priority filter above the task list (or Kanban board) to narrow your view:
  • Show all tasks
  • High priority only
  • Medium priority only
  • Low priority only
This helps you focus on what matters most without losing sight of the full list.

Assigning tasks

In the detailed task dialog, type @ in the Assignee field to trigger autocomplete. A dropdown appears with members from your organization. Select a member to assign the task to them. Assigned tasks display the assignee’s name on both the list row and the Kanban card.

Rich text notes

Each task has a Notes field powered by a full rich text editor. Use the formatting toolbar to:
  • Bold, italic, underline, and strikethrough text
  • Add H1 and H2 headings
  • Create bulleted and numbered lists
  • Insert and edit hyperlinks
  • Undo and redo changes
Notes are a good place to add acceptance criteria, reference links, vendor contact details, or any context that doesn’t fit in the task title.
