Access Settings from the sidebar to manage your organization. Only organization owners can view and edit these settings.

Organization name

To rename your organization, go to Settings → Organization and update the name field, then save. The new name appears across all events and invitations sent from your organization.

Managing members

The Members section lists everyone in your organization with their email, display name, and role. Change a member’s role:
  1. Find the member in the list.
  2. Use the role dropdown next to their name to switch between Owner and Member.
Remove a member:
  1. Click the delete icon next to the member’s name.
  2. Confirm the removal. The member loses access to all organization events immediately.
Removing a member from your organization revokes their access to all events. If you only want to remove them from a specific event, use the event’s team management instead.

Invitations

The Pending Invites section shows invitations that have been sent but not yet accepted.
  • Each invite shows the recipient’s email, role, and the date it was sent.
  • Invites expire after 7 days. If the recipient doesn’t accept in time, you’ll need to resend.
  • To cancel a pending invite, click the delete icon next to it.
If an invitee says they didn’t receive the email, cancel the existing invite and send a new one to trigger a fresh email.

Custom task statuses

EventPilot gives every organization a set of task statuses used across all events. The defaults are:
StatusColor
To DoGray
In ProgressBlue
ReviewAmber
DoneGreen

Add a status

1

Open Settings

Navigate to Settings from the sidebar and scroll to the Task Statuses section.
2

Enter a name

Type a name for the new status (e.g., “Blocked” or “On Hold”).
3

Pick a color

Select a color from the swatches to visually distinguish this status in Kanban and List views.
4

Save

Click Add to create the status. It becomes available in all events immediately.

Reorder statuses

Drag statuses up or down using the handle on the left. The order you set here determines the column order in Kanban view.

Edit or delete a status

Click the pencil icon to rename a status or change its color. Click the trash icon to delete it.
Deleting a status does not delete tasks that use it — those tasks will have no status until reassigned.
